Luego, el personal puede activar la opción de enviar la credencial vía correo electrónico y así el usuario lleva a cabo su visita, aprovechando al máximo el tiempo y evitando aglomeraciones en puntos de recepción, aspecto importante para garantizar las medidas de salubridad en caso de ser necesario como ante la reciente contingencia ocasionada por la covid-19.
Además, gracias a su integración con los sistemas de control de acceso, la plataforma EasyAccess permite el ingreso del usuario con el código QR; bien sea que lo presente en su dispositivo móvil o impreso.
Gestión de documentación eficiente para personal externo y contratistas
Cuando un contratista va a ejecutar una actividad profesional tienen que cumplir con una serie de documentación formal que acredite su idoneidad: si este va a trabajar en alturas, necesita una certificación de trabajo en alturas; otros ejemplos son certificados médicos, licencias de conducción, etc.
Para lo anterior, Alutel Mobility diseñó Aludoc que contribuye a una gestión de documentos efectiva, permitiendo automatizar procesos administrativos para tener un control documental de las empresas, personas y vehículos que ingresan a las instalaciones físicas.
Con Aludoc los contratistas pueden tomar y cargar sus propias fotos y firmar digitalmente los documentos necesarios para su ingreso. El aplicativo permite crear usuarios y definir de manera clara las acciones que pueden realizar y los objetivos de la visita, además de facilitar el registro de vehículos y documentos para identificar con anticipación los conductores autorizados para el ingreso, automatizando el control documental de los empleados externos, detallando así tareas y requisitos de ingreso. De esta manera, los encargados de la seguridad pueden comprobar de una forma más ágil que dicha documentación no sea falsificada o esté fuera de los tiempos establecidos.
Además, debido a la característica de notificaciones, el personal encargado está en capacidad de anticipar el vencimiento de los documentos de los contratistas.
El proceso con Aludoc es similar a EasyAccess: un trabajador o grupo de obreros envían previamente todos los documentos por medio de la plataforma (adjuntando las fotos). Si todos están al día, la interfaz le mostrará a la empresa una luz verde; de lo contrario aparecerá una luz rosa para notificar que algo necesita ser corregido.
La autogestión de visitantes y de documentación necesaria para su posterior verificación, se ha convertido en un verdadero alivio para las industrias de infraestructura crítica como puertos, minas o plantas industriales, por citar algunos ejemplos, donde el proceso de validación de licencias y certificados es crucial para las actividades de salud ocupacional, al tiempo que las organizaciones de entornos más empresariales, también pueden mejorar la gestión de la seguridad, reducir los tiempos de espera y mantener registros precisos de los visitantes.
